18 Questions Toronto Brides Shouldn't Skip


After looking through what felt like dozens of venue websites across the GTA for my 2025 wedding, I quickly noticed a pattern.

Most of the information I wanted was either vague, incomplete, or hidden behind an inquiry form. Whether it was about pricing, ceremony options, or what’s actually included on the day, I often had to reach out to sales teams or book a venue tour just to get the full picture.


While venue websites can be helpful for getting a general sense of the space, I realized early on that they are mainly designed as sales and marketing tools. The real details, especially the ones that matter most when planning your wedding, usually only come out when you're speaking with someone directly.


Some of these things might be covered on a venue’s FAQ page, but to avoid surprises later on,

these are the questions I recommend asking in person during your tour.


How Involved Will the Venue Be on My Wedding Day?

Some venues offer a venue coordinator, which sounds like a major bonus. And to an extent, it is. But it’s important to know what they’re actually responsible for.


What a venue coordinator usually does:

  • Ensures the space is set according to the venue’s standards
  • Oversees food and beverage timing
  • Manages the venue’s internal team


What they usually don’t handle:

  • Managing outside vendors (photo, video, florals, entertainment)
  • Creating or sharing a master timeline with vendors
  • Styling personal decor like signage, welcome tables, or flatlays
  • Handling guest questions, family dynamics, or wedding party direction
  • Staying by your side from morning to late night


If you’re booking a DIY-friendly venue, that doesn’t mean you’re completely on your own. Many venues, including mine, still help with essentials like linens, charger plates, and napkin placement. But for anything outside their scope, you’ll want to hire a month-of coordinator who works just for you and has your back through all the details.

Vendor Flexibility

  • Do we have to use your preferred vendors, or can I bring in my own team?
  • If I don’t use your preferred vendors, is there an additional fee or contract requirement?
  • If I want to bring in outside catering (especially for cultural menus), are there restrictions?
  • Can they access the kitchen, or does food need to be pre-prepared offsite?

Venue Staffing and Day-Of Support

  • Do you provide a day-of venue coordinator or maître d’?
  • What exactly are they responsible for?
  • Will they be present throughout the entire day, or just certain parts?
  • How do you support transitions between ceremony, cocktail hour, and reception?


Getting Ready Spaces and Early Access

  • When can I access the bridal suite?
  • Is there a fee to use it earlier in the day, or is early access included?
  • If we’re doing DIY decor, can we access the space the night before?
  • Can I drop items off earlier in the week for my coordinator to set up day-of?


Ceremony Details

  • Is there a separate cost to host the ceremony onsite?
  • What does that cost include?
  • What ceremony spaces are available?
  • If I plan for an outdoor ceremony, what happens if the weather turns?

For outdoor ceremony backup:

  • What does the indoor rain plan look like?
  • Will the indoor space be pre-set or do they make a last-minute call?
  • How far in advance is the call made?
  • If multiple outdoor ceremonies are scheduled that day, how is indoor space assigned? Is it based on guest count or timing?


Alcohol and Bar Policies

  • What’s included in the bar package?
  • Are shots and doubles allowed?
  • How do bartenders handle guests who have had too much?
  • Are bar staff trained to cut people off respectfully and safely?


Food, Dietary Restrictions, and Outside Catering

  • How does meal selection work?
  • How do you accommodate dietary restrictions, allergies, or religious requirements?
  • Can guests with multiple restrictions be handled on a case-by-case basis?

If you're considering outside catering:

  • Do you allow outside catering, and under what conditions?
  • Are there specific cultural caterers you allow, or can we bring in anyone licensed?
  • Is there a discount or fee reduction if we bring in our own food?
  • Can the catering team access your kitchen or prep space, or do they need to prepare offsite?
  • What equipment (if any) is available for use by outside vendors?

For desserts and cake:

  • Can we bring in an outside cake or dessert table?
  • Do you offer refrigeration for cakes or desserts before serving?
  • If not, when would we be expected to set it out, and who is responsible for that?
  • Is there a cake-cutting fee or service charge?


Decor, Rentals, and What’s Included

  • Can the venue set up rented linens, charger plates, glassware, or decor?
  • What items am I seeing during our tour that are included, extra, or not available at all?
  • Be sure to ask about:
  • String lights (if you see them at the venue, ask if they're included or if there is a cost to turn them on)
  • Outdoor furniture
  • Ceremony and reception chairs
  • Tent rental (if your venue has this, is it included or an additional cost)
  • Table linens and napkins
  • The physical bar (some venues have mobile bars they can move to different parts of the venue, ask if the bar you're seeing is included)
  • Coat check (some venues have coat check but it can be an additional cost, confirm it its included, especially during winter months)
  • Cake cutting (some venues will charge a fee, or per plate make sure to clarify)
  • Cocktail tables (some venues include cocktail/ curiser tables, others do not)
  • Bride and groom suites (some venues include this, while others charge extra depending on when you want to access it, so confirm if its included and if there are extra costs to use it earlier than the included time)
  • Parking
  • AV setup and microphones (sometimes there is plug in fees for outside DJ's so confirm what a DJ has access to and if there are fees if you do not use a venues preffered DJ)
  • Heaters or AC for outdoor spaces (sometimes these are included and other times they are an additional cost, make sure you know, especially if you need either)


Don't feel self-conscious about asking these kinds of questions!

Costs can add up when the things you think were included actually aren't.


Event Timing and Wrap-Up

  • What time does the event have to end?
  • What does “event end” actually mean? Does that include bar closure, music off, and lights up?
  • When do vendors have to be out?
  • Will our coordinator or planner have time to pack up rentals or personal decor after the event?


Pricing and Payment Schedule

  • What does the payment plan look like?
  • Will the price we agree to today be the price we pay in 1.5 or 2 years?
  • If pricing may increase, how far in advance will we be notified?
  • Are there any service fees or taxes not reflected in the base pricing?


Final Thoughts from a (recent) Toronto Bride & Wedding Vendor

Don’t be afraid to ask specific questions or take notes during your tour. Some venues are very transparent, while others leave important details out of the initial conversation. Knowing the right questions to ask will help you feel more confident, make better comparisons, and avoid unexpected costs or stress later on.
