Should You Provide a Shuttle Service for Your Wedding Guests?

A Toronto Bride & Content Creator’s Honest Take


If you’ve spent any time in local wedding planning Facebook groups, you’ve probably seen this question pop up:


"Should we book a shuttle or charter bus to bring guests to our venue and back to our hotel block?"


As a Toronto-based Wedding Content Creator (and a 2025 bride myself!), I’ve not only asked this question, I’ve lived through the decision.


The truth? It depends. Let’s break it down.


🚌 When a Shuttle Does Make Sense

If your venue has limited parking or is tricky for ride-share drivers to access, a shuttle can be a smart (and sometimes necessary) choice.


Real example: I shot a wedding in Collingwood last September where the couple hosted their ceremony and reception at a beachfront house on a residential street. There was no street parking, and Ubers couldn’t easily pull up. In that case, the couple provided a shuttle to and from the hotel block, and it made the day run so much smoother for everyone.


Other situations where a shuttle is worth considering:

  • Rural or remote venues (e.g., farms, vineyards, lake houses)
  • High guest count with limited onsite parking
  • Venues on private roads or with restricted access
  • Destination weddings where guests won’t have vehicles


🕒 Logistics tip: You'll likely need to book a shuttle that brings everyone to the venue around 20 minutes before the ceremony begins, and then arrange two return options, one earlier (around 10 PM) and one later (closer to midnight). Work with your planner to set the schedule and clearly communicate shuttle times in advance and on the day-of.



🚗 When It’s Not Necessary (But Still Nice)

For our wedding, our hotel block is about 15 minutes from the venue. There’s lots of onsite parking, and Ubers are reliable in the area. We considered a shuttle, but once we factored in the cost of multiple round trips, it didn’t feel like the best use of budget.


Instead, we’re sending Uber gift cards to guests who stay at our hotel block. For those flying in from the U.S. or overseas, we’re pairing them with local guests so they can ride back to the hotel together if they’d like.


As both a guest and a content creator, I’ve seen that most people figure out their own transportation, and it works perfectly well.


💡 Factors to Consider Before Booking a Shuttle

If you're debating whether to offer a shuttle, ask yourself:


  1. How far is the hotel from the venue?
  2. Under 15–20 minutes? Guests may be fine to Uber or drive.
  3. What’s the parking situation at the venue?
  4. Limited or no parking? A shuttle may be essential.
  5. Will alcohol be served?
  6. A shuttle offers peace of mind and promotes safety.
  7. Are most guests from out of town?
  8. They may not have vehicles and would appreciate the convenience.
  9. What’s the cost vs. expected usage?
  10. If only a few guests plan to use it, the investment may not be worth it.
  11. What are the round-trip logistics?
  12. Consider timing, wait times, and who’s managing the schedule.
  13. Do you have a planner or point person to coordinate?
  14. Someone needs to ensure the shuttle runs on time — especially late at night.


✨ Alternatives to a Shuttle Service

If you love the idea of offering transportation but want to simplify or reduce costs, here are some thoughtful alternatives:


  • Offer Uber codes or gift cards to guests at your hotel block
  • Coordinate a rideshare buddy system for out-of-town guests
  • List local taxi or Uber options on your wedding website
  • Assign your planner or a trusted guest to help with ride coordination

At the end of the day, your guests are adults.

If your venue is accessible and you clearly communicate the details in advance, most will handle their own transportation without issue,

and actually prefer the flexibility.


Shuttles can be a thoughtful and helpful add-on, but they’re not always necessary.

Make your decision based on your guest list, your venue setup, and your overall budget.
